✏️ Introduction
This guide will help you understand how to create, manage, and use email templates within the ATS.
Email templates streamline communication by allowing recruiters to send consistent, branded, and efficient messages to candidates. Within the ATS, emails can be generated automatically or manually, depending on the action taken and the configuration set by your organisation.
There are two key types of emails in the ATS:
- Emails from the Email Pack: These are pre-configured emails that are triggered by specific actions and may be automated or manually sent.
- Emails from Email Templates: These are manually generated emails created directly within the ATS, ideal for ad-hoc or personalised communication.
📩 Email Template Navigation
To get started, head to “Tools”, followed by “Email Templates”:
You will now be presented with the Email Templates page.
- Search field
At the top of the page, there is a search field, this is useful if there are multiple email templates listed here. - Create Email Template
Select this button to create a new template. - Email Template
Shows the name of the template that has been created. - Date
Shows the date that the template was created. - Options
- Edit
Allows you to edit the template.
Delete
Allows you to delete the email.

📝 How To Create Email Templates
Start by selecting, “Create Email Template” (1).
You will now be presented with the “Create Email Template” page, where you can fill in any relevant details:
- Email Template Title
Add a title for your template - something that is relevant to the email content. - Insert re-usable tags
Tags allow you to personalise the email so that when the email is received
they can see they are the intended recipient. - Email subject
Add a subject, something that is relevant to the email content. - Email banner
If you would like to upload your organisation's logo or a specific image, you can add it here. - Email content
The icons at the top of the content box, allow you to format the content that you add. Add the email content to the content box. - Create
Select create once your template is ready to be saved.

Once you are happy with your template, click on “Save” to complete the process.
📨 How To Use And Send An Email Template
To use an email template, start by heading to your jobs list and selecting the candidate that you would like to communicate with by selecting the check box next to their name.
Next, click on “Options” followed by “Email”.
You will now see a pop-out, where you can select the email template you want to use. Once you’re happy with your selection, click “send”.
