Find out how to use Candidate Custom Fields on your ATS
Candidate Custom Fields give you the ability to add extra tabs against a candidate profile. These can be restricted from view or made available to the candidate.
Creating a Tab
Candidate Custom Fields are created and managed in Manage, under the Platform Configuration menu > Candidate Custom Fields:
Please note - if you do not have this functionality turned on in Manage, you can request this either via your Account Manager or through the Tribepad Support team.
Once you have selected the Candidate Custom Field option, you will see a screen that looks like this:
- Select 'Add Tab'
You will then see a pop-up screen that looks like this:
- Give the tab a name
- You can give it a description if you like, and can also specify who will be able to see the tab:
Job seeker - this is the candidate (both internal and external candidates are included here)
Resourcing user - this is any of your internal users in your organisation
Super User - any Super User in your organisation
Partners - these are your agency users.
To give visibility of the tab to any of these users, simply tick the tickbox next to the relevant one.
Once you are happy with your seletions, select 'Submit':
This has now created the tab against the candidate's profile and you will see a screen that looks like this:
The next step is to create fields against the tab.
Creating Fields
Candidate Custom Fields can either be standard fields or you can have 'nested' fields.
- A standard field is where the field is always displayed
- A nested field is where you have a top-level option and then selected fields will appear below.
Adding Standard Fields
To create a field, click on the '+ Add Field'button:
You will then see a pop-up screen that looks like this:
- If you have existing fields, these will appear in the top section
- To add new fields, skip to the 'Create Field' section.
Add in a Field label - this is the name of the field you are adding
- For example, this might be 'Photo ID'
You can then choose the Field type from a drop-down list:
- Text - this allows for a single line of text to be entered
- Text area - this allows for a larger amount of text to be entered
- Checkbox - this allows for a checklist to be created and the user to select multiple options
- Select - this allows the user to select from options and is used as the primary question if using nested fields
- Radio - this displays a radio button to select from options
- Date - this allows for a date to be captured in a specific format
- File - this allows for a file upload
- Country - this provides a list of countries to be selected from
Please note - the countries list is a complete list and cannot be amended.
The final section to complete here is the 'Field Validation':
- If a field is required, the validation will be {"rules": ["required"], "messages": {"required": "This field is required"}}
Please note - the wording 'This field is required' can be amended if you wish.
If you do not wish to have any validation or message displayed against the field, you can add [] (2 square brackets) in the validation section.
Once happy with your detail, select 'Submit':
The screen will then refresh and you will see 2 things:
- Confirmation that the Custom Field has been created and assigned at the top of the screen
- Details of your new field at the bottom of the screen.
Adding Nested Fields
To create nested fields, you should create all the different 'questions' you wish to ask the candidate, as separate Custom Fields.
- You will also need to make the main 'question' a 'Select Field Type:
If you are adding in all the different questions as file uploads, for example, it might look a little like this:
So, for example, if you want to create a list of documents that can be accepted from the candidate but it depends what country your candidate is from, your Field Label (as above) would be Country, and your Field Type would be 'Select':
Click the 'Select' icon and the screen will refresh below the specific field:
- From here, you can see the additional 'questions' that have been created as Custom Fields, showing as 'Child fields' at the top of the screen
- You also have the ability to add in Options at the bottom of the screen.
If you add in an 'Option', this then allows you to choose which Child field will be displayed when the specific option is selected.
- For example, as you have Child fields for an EU, US and UK passport, you could create options for EU, US and UK:
You can then edit those options to choose which Child fields should be presented on a candidate's profile:
- Select the 'Edit' option next to the relevant Option
- Choose the relevant Child field on the right-hand side of the page
- Click 'Update' at the bottom of the section to save your choices.
Please note - you can make multiple selections here if you wish for more that one Child field to be presented to the user.
Candidate Profile View
Once you have created all of your Candidate Custom Fields, you can see them on the candidate's profile, depending on the usertypes you selected right at the beginning of the process.
The additional tab will look something like this:
Clicking into the tab will show you something like this:
- The description of the tab is shown at the top
- The Name of the Custom Field is shown in the middle
- The 'question' that is being asked is shown at the bottom of the section.
To answer the 'question', click on the edit icon:
You will then see the options that have been created:
If you select one of the options, you will then see the 'child fields' that have been associated with that option:
Once the relevant document has been uploaded (or whatever action was prompted to complete), you will see something like this:
Once happy with the information, click 'Save'.
