When managing a job posting with a high volume of applications, the search, filter, sort, and select tools can significantly streamline the candidate review process. These tools can be combined in various ways to help you quickly find the most relevant applicants and make your workflow more efficient.

In this guide, we’ll walk you through all the available features within each of these sections, showing you how to use them effectively.

🔎 Searching Candidates

Whilst on your job page, you’ll find a search bar located in the top right-hand corner (1). This tool is especially useful when you have a large number of applications, as it allows you to quickly locate a specific candidate.

You can search using a candidate’s first name, surname, or full name, making it easy to narrow down your results and find who you’re looking for.

👫Selecting Candidates

In addition to selecting individual candidates using the checkboxes next to their names, you can also select or deselect multiple candidates at once using the “Select” dropdown menu.

 

This menu gives you the following options:

  • All on this page – Selects all candidates currently visible on the page.

  • None on this page – Deselects all candidates on the page.

  • All in this stage – Selects all candidates within the current stage of your hiring process.

  • None in this stage – Deselects all candidates within the current stage.

Using these options is a great way to save time when performing bulk actions on multiple candidates.

⚖️ Sort By

By default, candidates on your job are sorted by last modified time, with the most recently updated applications appearing first. However, you can customise the order using the Sort By menu, which offers several sorting options.

 

 

➡️ Modified Time

  • Modified Time (Default): Shows candidates from most recently to least recently modified.

➡️ Seen Candidates

  • Candidates I have seen in stage: Shows candidates you have viewed at the top.

  • Candidates I haven’t seen in stage: Prioritise candidates you haven't viewed yet.

  • Candidates others have seen in stage: Shows candidates other recruiters have viewed first.

  • Candidates others haven’t seen in stage: Highlights candidates not yet viewed by others.

 

➡️ Onboarding Status

  • Pending Workflows: Shows candidates with pending workflows first.

  • Pending Blocking Workflows: Prioritizes candidates with blocking workflows that need attention.

  • Completed Workflows: Displays candidates who have completed all workflows at the top.

➡️ Assessment Scores

  • Prescreening Questionnaire Score: Sorts by questionnaire score (highest to lowest). If multiple questionnaires are used, you can choose which one to sort by.

  • Video Interviewing Score: Orders candidates from highest to lowest video interview score.

➡️ Other Options

  • Surname: Sorts candidates alphabetically by surname.

Using these sorting options helps you focus on the most relevant candidates based on your workflow needs.

🔎 Filters

There are many ways that you can filter candidates on your job. Below, we’ll walk you through the available filtering options and how to use them effectively.

 

➡️ Accessing Filters

 

Click the Filters button on your job page to open the full list of available filters (as shown in the image below).

 

 

 


 

➡️ Quick Status Toggles

 

At the top of the filter panel, you’ll see toggles to quickly filter candidates based on their application status:

  • Completed applications

  • Incomplete applications

  • Failed killer questions

You can select one, multiple, or none of these options.

 


 

➡️ Questionnaire Filters

 

You can filter based on candidate responses to prescreening questionnaires:

  • By Completion: Filter candidates by whether or not you have completed or not completed a process questionnaire.



  • By Question & Answer: Select a specific question and one or more answers to filter by.
    → Click “Add another question filter” to include multiple questions.


 

➡️ Skills

Select one or more skills to view candidates who have matched those skill tags.

 


 

➡️ Location

Filter candidates based on location.

 

 


 

➡️ Interview Stage

Use this dropdown to filter candidates by their sub-status or interview stage, which is especially helpful for tracking candidates at different points in your hiring pipeline.

 


 

➡️ Application Steps

Filter candidates based on specific steps in your application process (e.g., CV upload, pre-screening questionnaire).

  • Choose a step from the dropdown

  • Then select whether to show candidates who have or haven’t completed that step




 

➡️ Candidate Filters

  • Seen/Unseen by Me: Filter candidates based on whether you have viewed their profile

  • Seen/Unseen by Others: Filter based on whether other recruiters have viewed them

  • Candidate Type: Filter by Internal, External, Agency, or Passive candidates

 

➡️ To Remove Filters

 

To remove any active filters or sort options, simply click the “X” next to the option you wish to remove (1).

 

These filters are designed to help you narrow down large volumes of applications and focus on the candidates most relevant to your needs.
