Once your onboarding package is set up, the next step is to assign it to the relevant job and ensure it’s sent at the right stage of the hiring process. This guide covers how to attach an onboarding package to a job and how to trigger the associated workflow - either automatically at a defined stage or manually - ensuring a smooth transition for your candidates and internal teams.

➕ How To Attach An Onboarding Package To A Job

To attach an onboarding package to a job, start by heading to either an existing job to edit it or “add a new job” to begin creating a new one - where you will need to be on the first page of the job creation process. 

Next:

  • Scroll down the page to Candidate Processing (1).
  • Select the drop-down menu next to the Onboarding Template (2).
  • Select the relevant template (3).

 

To save your selection either click “finish/save and continue later” to complete the process or “next” to continue with the job creation process.

📨 How To Send An Onboarding Workflow To A Candidate

Once you are ready to start the onboarding process, navigate to your job list and select the relevant job.

 

 

In this example, the onboarding steps begin at the Accepted Stage

To start the process, select your candidate by clicking the tick box next to their name.

The Options menu will now be available. From here select the menu and scroll down to “Accepted”.

A pop-up will appear with the option to send an email and mark as accepted or to simply mark the candidate as accepted.

 

 

At the bottom of the image you will see:

  • Invite to onboarding workflows
    • Next to this you will see your workflow item. 
    • To trigger this, simply select the toggle to on

 

 

Once you are happy with your selections, either click “mark as accepted only” or “mark as accepted and send email”.

Once completed any Onboarding workflows will be triggered and accessible from the candidates profile (or depending on the workflow item, internally on the ATS if it was intended for Hiring Managers).
