🟣Introduction
Standard Custom Fields have been utilised in Tribepad for some time - they allow recruiters to include organisation-specific information in their Job Requisition and Job Create processes.
Our new functionality now allows Custom Fields to be added to Jobs and allows for single questions to be collected against an application.
Although questionnaires support similar functionality they do not allow the flexibility of adding single questions at the point of creating a job. This new functionality will solve this.
There will also be the ability to add additional icons to these questions, so that specific answers will display an additional icon on the candidate profile within a job, to allow recruiters to quickly identify specific candidates and answers, e.g. military veterans.
🟣 How to use the module
🟣Setting up Application Custom Fields on Manage
The first step to setting up Application Custom Fields, is to set them up in Manage.
Go to Platform Configuration > Application Custom Fields (1):
The screen will refresh and you will see a screen that looks like this:
To add a new Custom Field, select the ‘+’ symbol at the top of the page:
Again, your screen will refresh and you will see this page:
At the top of the page, you can enter your label, or question that you would like to ask your candidates (1):
- An example of this might be ‘Do you have a current UK driving licence?
You can then add any guidelines for the candidate, on the right-hand side (2):
- These guidelines work in exactly the same easy as they do on a standard question
- They are designed to give the person answering the question, some further help if required.
You can also make the question a mandatory question by toggling on the ‘Required’ toggle, and ensure that this question is brought into every job by making it a ‘Global Field’ (3):
You can also choose who you would like to see the response to the question, by selecting the relevant usertypes:
You can select as many as apply here:
You can then choose what kind of question you would like this to be, by selecting the drop-down list:
- Text - allows the candidate to enter a small amount of free text (much like a ‘Single Field’ question type in the ATS)
- Textarea - allows the candidate to enter a larger amount of text
- Dropdown - allows the candidate to select from several options
- If you choose this option, you are able to provide the different selectable options (1):
- You can have as many options here as required (2):
- Multi Select - this allows the candidate to choose as many options as apply (much like a ‘Checkboxes’ question type in the ATS) (1):
- This presents itself as a drop-down function on the application, and the candidate can select multiple options when holding down the Shift key.
- Radio - allows the candidate to select from multiple options, but only give one answer (1):
- Checkbox - this allows the candidate to choose as many options as apply, much like the Multi Select option above (1):
- This presents itself as check boxes to tick on the application, rather than the drop-down that is presented if you choose the Multi Select option above.
- Icon - allows the candidate to select from different options, and if one particular option is selected, it will display an icon on the candidate’s profile within a job.
- A specific icon can be selected by clicking on the field under the ‘Icon’ field (1):
- You can then select from a range of different icons
- In this example we have selected the car icon.
- You can then select which options will link to the icon appearing on the candidate’s profile (1):
- Date picker - allows candidates to select a date as appropriate
- You can choose to allow a date range to be provided for the candidate, and also if dates in the future are permitted, by toggling on the options as required (1):
- File upload - allowed the candidate to upload files if required
- By selecting the drop-down option ‘Maximum number of files’, candidates can upload a certain number of files if required (1):
Once you are happy with your question, select ‘Save’ in the bottom right-hand corner (1):
Your screen will refresh and you will see confirmation of the saved question at the top of the screen (1), and details of the saved question below it (2):
If you wish to make any changes to the Custom Field you have set up, you can use the icons on the right-hand side of the screen (1):
- Edit - this will take you back to the question screen where you can edit any element of the Custom Field
- Enable / Disable - this will allow you to turn the Custom Field on or off as required
- Flag - this will disable / enable the Custom Field for Opt-in
- Delete - this will delete your Custom Field
🟣Using Custom Fields on the ATS
Once you have created your Application Custom Fields in Manage, you can apply them onto a Job or Job Template within the ATS.
You can apply these to existing jobs or templates, or to brand new ones.
To add in Custom Fields into the application process, scroll down the page to your Application Flow section (1):
Scroll down to the section below the Profile Builder, and you will see a new option to include Application Custom Fields (1):
Toggle this option to ‘Yes’, and you will see the following:
- If any Custom Fields have been set as ‘Global’ in Manage, they will be included as standard and cannot be removed - ‘1 field selected’ (1)
- To include any additional Custom Fields, select ‘Edit’ (2).
Any Global fields will be pre-populated and will show on the right-hand side of the page (1):
To add additional fields into the application process, you can search for them on the left-hand side (1):
You can search for key words relating to other Custom Fields that might have been added.
For example, if there are additional questions relating to a candidate’s driving licence that you would like to include, you could search for ‘driving’ and any related questions will show (1):
- To add the questions into the application process, simply select the ‘+’ symbol on the right of the question (1):
You can reorder the questions as required, by using the horizontal lines on the left of each question (1):
- Once you are happy with your order, select ‘Save’ (2).
Your screen will refresh and you will see that your additional fields have been added in (1):
Make sure you save your changes if you are adding in Custom Fields to an existing job or template!
🟣 Candidate View of Application Custom Fields
As these Custom Fields are being added into the application process, they form a new step in the process.
A candidate will see them simply as a questionnaire to complete (1):

🟣 Internal User View
Once a candidate has answered the Application Custom Field questions, they will show on their profile.
The answers to the questions asked, will be visible in 2 places on a candidate profile:
- The Application Summary tab (1) (2):
- The candidate’s Mini Profile:
- This is shown at the bottom of the Application tab within the Mini Profile (1) (2):
If you have also assigned an ‘Icon’ question type to your job, if the candidate has selected the relevant option, this will also show on their profile to view at a glance:
