Find out how to cancel candidate interviews as aninternal user.
Candidates have always been able to cancel their own interviews, but it's been a bit trickier as an internal user to perform the same action!
Recruiters and Hiring Managers, with the correct permission enabled, are now able to cancel interviews
- They will only be able to cancel interviews for jobs they have access to.
Once an interview is cancelled, the candidate will receive an email confirming the action.
How to cancel candidate interviews
To cancel an interview, you can do this from within the job on a candidate profile, or via the Dashboard.
From within the job, go to your Options menu and scroll down to ‘Other options’, then select ‘Cancel interview’:
You can also do this by hovering over the interview on the candidate’s profile within a job:
Alternatively, you can do this from your main Dashboard:
Within the Interview widget, you will now see a new drop-down arrow next to each candidate’s name:
- Clicking on this will give you the options of ‘Interview Cancel’ and ‘Edit’.
Clicking either ‘Cancel Interview’ on a candidate’s Option menu or on their profile or ‘Interview Cancel’ on the Dashboard, will refresh your screen and you will see a new pop-up screen:
This email is NOT saved within your standard email pack in Manage - if you wish to edit this email, this needs to be done by Tribepad.
To send the email to the candidate, you will need to toggle on the option at the bottom of the page:
- This enables the ‘Send Interview Cancellation’ button (as above).
You will then see a second prompt on the screen:
- If you select ‘OK’, this will send the cancellation email to the candidate.
Alternatively, instead of cancelling interviews at a candidate level, you can view all interviews created against the role.
To see this, you should go to the Dashboard, locate the Interview Widget, and select ‘View all’:
Clicking ‘View All’ will show you a list of all booked interviews:
- From here, you can click on the Rubbish bin icon on the right-hand side of the screen, and you will be taken to the same cancellation email as described above.
Once the interview has been cancelled, the candidate will still remain in the Interview bucket, but no interview will be assigned to them:
- If the candidate was originally invited to book an interview from a number of slots, they will then be able to rebook an interview from their Dashboard.
Please note - cancelling an interview does not cancel the interview slot. To make this unavailable to other candidates, you will need to delete the interview slot manually.
To delete an interview slot, you can edit the job and select the ‘Interview Slots’ section at the top of the page:
- You can then locate the specific interview slot and select ‘Delete slot’:
If the candidate was originally booked into a specific slot by a Recruiter or Hiring Manager, you will need to go in and rebook a specific slot for that candidate, as is standard functionality.
