Email Templates

Learn how to create your own email templates.

Overview

Two types of email are generated by the ATS.

  1. Emails generated from the email pack.
    The ATS generates multiple emails based on actions that have been carried out by the candidate and the recruiter.  Some of these emails are automated and some are sent as part of a manual process.  The emails are derived from the email pack that is associated with the ATS and they can be administered to reflect the communication style of your organisation.  To access these emails you will need to have access to the Tribepad Manage administration tool.
  2. Emails generated from an email template.
    An email template is created and administered within the ATS.  They allow you to create emails that you may use on more of an ad-hoc basis.  They can only be generated as part of a manual process.

Email template navigation

  • Select the Social menu from the top navigation bar.
  • Select Email Templates.

You will be presented with the Email Templates page.

  • Search field
    At the top of the page, there is a search field, this is useful if there are many email templates listed here.
  • Create Email Template
    Select this button to create a new template.
  • Email Template
    Shows the name of the template that has been created.
  • Date
    Shows the date that the template was created.
  • OptionsEdit 
    Allows you to edit the template.
    Delete
    Allows you to delete the email.

Consider if a colleague is using that same template before you make any changes.

How to create Email Templates

  • Select, Create Email Template.

You will be presented with a page that looks similar to the image below.

  • Email Template Title
    Add a title for the template, something that is relevant to the email content.
  • Insert re-usable tags
    Tags allow you to personlise the email so that when the email is received
    they can see they are the intended recipient.
  • Email subject
    Add a subject, something that is relevant to the email content.
  • Email banner
    If you would like to upload your organisation's logo or a specific image, you can add it here.
  • Email content
    The icons at the top of the content box, allow you to format the content that you add.  Add the email content to the content box.
  • Create
    Select create once your template is ready to be saved.

How to use an Email Template

  • Select the candidate that you would like to communicate with.
In the example below the 'Email' option has been selected from the 'Options' menu.

From the pop-up, you will be able to select the drop-down menu next to 'Choose Email Template'.

  • Select the relevant email template and the content will be populated in the content box.

If you would like to upload a supporting document, select 'Upload files'.

At this point you can select to send the email or cancel it completely.
