Internal Usertypes

Find out about the different Internal Usertypes you can have on your platform, and the usages and limitations of each one.

When you set up your internal users on Tribepad, you can decide exactly how much or how little access to the platform they require, by using our variety of usertypes. 

 

Please note - different usertypes are available to our Pro and Gro customers - what you are given access to, depends on your platform configuration.

 

Tribepad Pro Usertypes

If you are a Tribepad Pro customer (i.e. you have access to a bespoke platform), you have access to a variety of usertypes:

  • Each of these usertypes can perform different actions in the platform.

Please note - you do not have to use all of these usertypes in your organisation. 

This simply gives you an idea of what each role profile has the possibility to do. 

You can choose which usertypes suit your needs. 

 

Super User 

A Super User can 'see all and do all' in the platform.

These are typically the 'builders' and will create the assets in the system for other users to utilise. 

Examples of this might be 

  • Questions and questionnaires
  • Job Templates
  • Authorisation Policies
  • Job Requisition templates
  • Onboarding packages
  • Contracts and Offer Letters.

 

They can also perform actions against jobs and candidates, for example creating jobs, processing candidates through the application journey, triggering Onboarding actions and sending out contracts. 

 

A Super User will also typically have access to our 'behind-the-scenes' platform, Manage, and is able to make changes to some ATS functionality for your organisation. 

 

You may want to use only Super Users if your organisation is smaller or you have a central Recruitment / TA team.

 

Talent Team

The Talent Team are typically the 'doers' in the platform. This will probably encompass the members of your Recruitment or TA team.

They will not create assets like the Super Users above, but are more responsible for moving candidates through the application journey.

 

Actions they might complete include:

  • Create job adverts on the platform, either using templates or from scratch
  • Sift through CVs / applications
  • Longlist / Shortlist candidates
  • Manage the internal Talent Pool via 'Talent Search'
  • Book interviews on behalf of Hiring Managers
  • Trigger Onboarding packages for candidates to complete
  • Complete specific internal actions as part of the Onboarding process
  • Manage candidates going through the Onboarding process
  • Trigger and send offer letters and contracts out to candidates
  • Move candidates to 'Hired' once all Onboarding actions have been completed.

 

Hiring Manager +

Hiring Manager + is used for those trusted Hiring Managers who may need to complete more actions on the platform. 

  • This might be because you are a small organisation and your Hiring Managers self-serve using the platform, or because you want to give your Hiring Managers more autonomy in the recruitment process. 

 

They can perform the following actions:

  • Raise Job Requisition requests
  • Create jobs from templates (either following on from a Job Requisition, or as a stand-alone process)
  • Sift through CVs / applications
  • Longlist / Shortlist candidates
  • Book interviews or invite candidates to book their own interviews from slots that have been previously set up
  • Request that a candidate is offered a role - this could involve moving to 'Pre-Offer' stage (if enabled on your platform), or by using sub statuses to communicate requests to the Recruitment / TA team
  • Monitor candidates who are going through the Onboarding process
  • Complete specific internal actions as part of the Onboarding process

 

Hiring Manager

The Hiring Manager usertype is a much more restricted and basic role profile than the Hiring Manager +.

Hiring Managers can only see the candidate from Shortlist stage in the application journey, and can only see jobs and therefore candidates relating to those jobs, that have been shared with them. 

 

Hiring Managers can only perform very basic actions:

  • Raise Job Requisition requests
  • Sift through CVs / applications
  • Request for the Recruitment / TA team to take a candidate through to different stages, i.e. book interviews or make an offer of employment
  • Monitor candidates who are going through the Onboarding process
  • Complete specific internal actions as part of the Onboarding process

 

HR Onboarding

The HR Onboarding usertype only allows users to see those candidates who are going through the Onboarding process.

Typically, these users would only become involved when Onboarding is triggered.

 

Actions that are typical of this usertype:

  • Trigger Onboarding process to candidates
  • Ensure all Onboarding workflows are completed
  • Download the information included in an Onboarding package
  • Generate offer letters and contracts.

 

These users typically sit away from the Recruitment / TA team in an organisation.

 

System Administrator

A System Administrator would typically look after the Questions, Questionnaires and Templates within your platform. 

They do not get involved with processing candidates, and do not have the functionality to perform any of the actions that come along with that. 

 

Agency

To support your recruitment, you may give ATS access to an Agency.

 

An Agency user has very restricted access to the ATS, and can only see jobs that are shared with them, to prevent confidentiality being breached, and to ensure that processes are followed correctly.

 

An Agency user is able to upload candidates to specific roles, as well as upload CVs that relate to the candidates as well

  • They are only able to see the candidates that they have uploaded to a role, not any other candidates that may have applied. 

 

They cannot move a candidate through the application process - this is still down to the Recruitment / TA team (or whatever configuration works in your organisation).  

 

Read Only

This user type is available if internal users wish to see the platform, but not perform any actions

  • This may be useful for Directors, Heads of Department, HR Business Partners for example. 

 

This usertype can see all vacancies and candidates in the platform, as well as those going through the Onboarding process

  • They have no ability to take any actions against a role or a candidate. 

 

If you would like any of these usertypes enabling on your platform and do not have them already, please speak to your Account Manager.

If you have these enabled already and would like to utilise them, please speak to your main Tribepad contact in your organisation who will be able to set these up for you. 

 

Tribepad Gro Usertypes

 

If you are a Tribepad Gro customer (i.e. you do not have access to the bespoke customisable element of the platform), you have a more limited number of usertypes that can be utilised in your platform:

 

Each of these usertypes operates in the same way as has been detailed above, you just do not have the access to HR Onboarding, Read Only or System Administrator roles.
