🟣Introduction
Trust ID have created a DBS offering within their package. This will form part of the current TrustID FM integration that Tribepad already has..
This enhancement to the integration allows Recruiters to send requests for DBS checks, directly from the ATS.
DBS checks can either be standalone or be part of a RTW+DBS journey but both follow the same workflow which is documented below.
As this integration is available directly from Tribepad, any customers who take the Tribepad version of the integration will benefit from additional features.
This guide will detail the process a RecruitmentUser will go through with TrustID. It does not document the candidate’s point of view. For issues with this, TrustID should be consulted.
🟣Triggering a DBS request
Once your Trust ID integration has been set up in the background, you are able to trigger out the DBS check to candidates.
As detailed above, the integration will be attached to a job and can be triggered at whatever point in the application process you choose.
In this example, we have set the DBS check to be triggered at Shortlist stage (1):
Before the check is completed by the candidate, you are able to make the DBS check as specific as you require.
To do this, click into the icon.
- You will see a screen that looks like this:
Under the ‘DBS Validation’ tab you can choose which type of DBS is to be requested (1):
You can also specify the Employer Name if it is different to the one that has been pre-populated in the instance you initially set up (2):
Following that, you can determine which position the DBS is being requested for (1), and also specify which area of the workforce it will be impacting (2):
Finally, you can then choose any other areas which the DBS needs to take into account, by toggling the other options on as required:
- Don’t forget to click ‘Save’ when you’ve finished!
🟣Candidate Portal View
Once TrustID has been triggered, the candidate will see a message to complete the action on their portal (1):
The candidate will be redirected to Trust ID when they click on the button on their dashboard:
From here, the candidate should scan the QR code and they will be taken through the Trust ID DBS process on their mobile.
The link sent to a candidate is only valid for one use. If the candidate tries to complete the DBS check again through their portal, they will see this image:
🟣Viewing the Candidate’s Results
Once the candidate has completed their DBS check with Trust ID, the icon on their profile will change colour:
If you hover over the icon, you will see details of what has been included in the Trust ID check:
If you click on the icon, you will be presented with a pop-out screen with further details about the check (1):
The tabs at the top of this screen show you different information:
- If a Right To Work check has been conducted through Trust ID, you will see that information on the left-hand tab
- If a DBS check has been conducted, you will see that on the right-hand tab
On this example you can see that an Imposter Check is required for the RTW check:
If we look at the DBS tab on the right-hand side, we can see more information about that request:
- The information at the top of the pop-out shows what was selected when the integration was triggered
- The information at the bottom of the pop-out shows what the specifics of the DBS that was requested
To be able to see the details that the candidate has uploaded as part of the DBS check, you can click on the ‘Download’ symbol on the right-hand side of the pop-out screen (1):
This will open details of the RTW and DBS check:
🟣Retriggering a DBS Check
If a candidate’s DBS invite link expires (most will have a time limit of 7 days to complete this) you may need to retrigger their invite.
To do this, locate your relevant candidate.
- Hover over the TrustID icon:
You will see a ‘Restart’ option on the right-hand side of the message (1):
Click this and your screen will refresh. You will see an additional email which can be triggered out to the candidate:
This email can be edited as required and then sent to the candidate. They would just see another button on their Dashboard to complete the DBS check.
