UAT Refresh

Find out how to refresh your UAT platform to mirror your Live one

The majority of Tribepad customers have access to a UAT version of their platform. This allows for testing to be done in a version of the ATS which does not affect the live platform. 

However, we know that over time, the Live and UAT versions of the ATS can be quite different.

A UAT Refresh allows the two versions of your platform to be brought in line together, allowing for more effective testing before new functionality is rolled out to the Live platform. 

 

Please note - this is a paid feature and there are 2 options:

  • Single refresh - the AM team will do the refresh, the customer will then need to do any uploads manually
  • Full access - the perm should be made available for the customer to self-serve, they will then need to do any uploads manually.

Actioning the Refresh request in Manage


Please note - This action can only be completed by designated Manage users within your organisation. 

 

Log into Manage as usual:

  •  You will notice that the initial Manage page has a purple banner at the top of the page – this indicates that you are in the Live environment.


Go to ‘Platform Configuration > UAT Refresh’:


Please note – As this is a paid feature, it will only be available if you have agreed this with your Account Manager.




Click ‘Submit a refresh request’: 

  • This button will trigger the overnight refresh. 

Your screen will refresh and you will see details of your request: 

 

You will see the following on this screen:

  • Confirmation of the request in the green banner at the top of the screen - your request will be ‘queued’
  • An ‘error’ message highlighted in orange - this is not really an error message, more just a message to say that you cannot request any further refreshes at this stage
  • The request will be given an ID number and the date and time of the request will be detailed
  • The status of the request will be detailed as either ‘New’, ‘In progress’ or ‘Complete’.

This screen will show a record of all refresh requests, so will detail the date and time when previous requests have been made.  



If you change your mind about the refresh request, you can cancel the request up to the point that the refresh is scheduled, by selecting ‘Cancel’ in the bottom right-hand corner:


Please note - the refresh will occur first thing, the day after you have triggered the request, this is not an immediate action.


Once the request has been processed, you can check the status of the refresh in this same screen. 



Re-uploading data into UAT


With each refresh, the recruiters, candidates and jobs do not migrate over, meaning you will need to upload workable data back into the platform.

 

It is recommended that this is done in bulk and any bulk upload sheets are saved by the customer to speed up future refreshes.

 

Super user accounts must be set up manually in Manage, but other recruiter types can be set up using the recruiter bulk upload function.



Candidates  


Depending on the organisational requirements, you may wish to use dummy candidates in your UAT platform, as opposed to copies of live candidates. 

 

You can upload candidates in bulk back into the UAT platform, or you can upload them individually. 

 

To process candidates individually (for example if you only need to have 1 or 2 to play around with), go to the top right-hand corner of your screen and click on ‘Live’:

  • You can then select which other version of the platform you would like to see
  • Select ‘UAT’.

Please note - It is unlikely you will see any other version of the platform here - the versions shown in the example above are Tribepad-only options. 


You will notice that when you select the UAT option, the page will refresh and the top banner of the screen will change from purple to navy blue:

  • This indicates that you are now working in the UAT side of Manage.



For single candidates, you can then add a candidate in the same way that you would any ATS user.

You can also perform a Bulk Candidate Upload into your UAT platform, if you wish. 

  • This is not mandatory, but may help you with your testing. 

To action the candidate bulk upload, navigate to ‘ATS Users’ and ‘Candidate Bulk Upload’:

 

Within this page, you have the ability to download an empty CSV file or an example:

  • Simply complete the CSV file and re-upload into Manage.



Once uploaded, you will receive an email to state whether the upload has been successful or unsuccessful.


If your upload has been unsuccessful, you will be notified of what has caused the upload to fail. You can then make changes to your CSV file and try again. 


Jobs


Once you have uploaded a candidate(s) to UAT, if you wish, you can also upload jobs.

  • This is useful if you have a specific job within your ATS which you wish to run testing on, and do not want to have to create the job from scratch again. 

To do this, go to ‘Platform Configuration > Jobs Import’: 


Please note – This functionality is not automatically turned on for all customers – if you do not see this option, you will need to raise a Support ticket to enable this for you.




From this page, you will see the ‘CSV file’ option and the ‘Choose file’ button:

  • From here you should upload a relevant CSV file for the job.

Please note – if you are not sure what to upload at this stage, select the ‘view the help page’ link and this will give you an idea of the data that is required to upload a job into the platform. 

 

Please note - As an  organisation you might want to set up your own CSV file that can be amended and reuploaded for this purpose

  • The information on the help page will show you the information that is required to upload a job via Manage. 

 

When the CSV file is finalised, you should choose the relevant file to upload and then select ‘Submit’

  • The page will refresh and you will see a green banner at the top of the page:

Once you have uploaded your CSV file, you will receive an email titled ‘Tribepad Manage - Job Import report’. It will look a little like this:

  • The report will either say that the job has been successfully uploaded or that certain items failed
  • The failed items will be outlined on the document attached to the email, as highlighted above. 

 

 

Once the failures have been amended, you will need to re-upload your CSV file

  • If the job upload is successful, the email will state the job has been successfully imported. 

 

Recruiters

 

As well as uploading Candidates and Jobs to your UAT platform, you can also import Recruiter details as well. Again, this is not required but may make your lives easier!

 

To do this, go to ‘ATS Users > Recruiters Bulk Import’:

 

You will then see a screen that looks like this:

 

Like with the Candidate Bulk Import, you have the ability to download an empty CSV file, download an example, and then also upload a new CSV file. 



You will notice you also have the option of showing Valid Field options. If you click on the button, you will be shown lists of Countries, States, Languages and Multiposter options that can be used in the platform:

Please note - the examples above are not exhaustive lists, just a sample for this article.

 

You will then need to simply complete the CSV file and re-upload into Manage.

 

Once uploaded, you will receive an email to state whether the upload has been successful or unsuccessful.

  • If your upload has been unsuccessful, you will be notified of what has caused the upload to fail. You can then make changes to your CSV file and try again. 



 Please note - you may find that Super User accounts need to be uploaded manually, outside of the bulk upload process.
