✏️ Introduction

The Fair Contact Policy helps you stay on top of candidate communication by notifying you when it's time to respond - reducing ghosting and improving the candidate experience. This free feature ensures a fair and timely follow-up.

➕ How To Set Up The Fair Contact Policy

Whilst on the Job Creation process, under 🖱️ Application Flow scroll down until you see the "Fair Contact Policy": 

 

 

To set the required response times, select the "Recruiter Response Times" checkbox.

 

 

Next you need to select which stage of recruitment you would like to set a response time for. To do this click the "New Applicants" on the stage drop-down.

 

 

Now select which roles you would like to receive the notification for. To do this click the "Roles" drop-down.

 

 

Finally select the "Response Time" using the drop-down.

 

 

 

You also have the option to "add another response time" if required, by selecting the following button.

 

 

Repeat the steps from above to add another set of "Recruiter Response Times".

 

 

 

Once you are happy with all of the above, click the "Response Warning Marker" checkbox. This will allow icons to display depending on whether you are past the set response time or within 50% of the set response time.

 

 

 

To complete your set up, click "finish/save and continue later".

🔉 What Does This Look Like?

Once the Fair Contact policy has been added to a job, you will be able to view outstand candidate contacts in the following way:

  • From the notification centre
  • Via an email
  • Via the job list

 

➡️ From The Notification Centre

 

If you have any outstanding notifications you will see a red number next to the bell in the top right corner of your ATS platform:

 

If you click on this icon you can view all of your outstanding notifications, including any related to the Fair Contact process (1).

You will also receive an email notification, highlighting any outstanding candidate fair contacts:

 

 

➡️ From The Job List

 

From the job list you have the ability to filter jobs by “Candidate updates required” by clicking the toggle on:

 

 

Whilst on the jobs list you will also see the following “Candidate updates required” (1) - this indicates that there is a candidate outstanding contact based on the policy timeframes set up on the job:

 



To action this, click on the job, where you will see a pop up at the top of the screen (1), you will also see a small notification underneath any candidates that are over the set number of days for “Fair Contact” (2):
