🔒Introduction

The ATS will provide you with notifications when certain actions are performed. 

This functionality will alert users to specific notifications, which will be displayed within the ATS notification centre, as well as some of the notifications also sending corresponding emails.

🔔 How To Use The Notification Centre

Once the Notifications Centre has been enabled on your platform, you will see a new icon in the top right-hand corner of your ATS:

 

You will notice that there is a number indicated in a red circle - this details the number of unread notifications that you have.

 

If you click into this icon, you will see a pop-up screen that looks like this:

 

As you can see, there are several tabs within the Notification Centre

  • If you have any notifications, you will be able to click into each of these tabs to see what is contained there:

  • Each section below the main tabs, will be for a separate notification.



If you wish to action the notification, there will be a link in the notification which will take you to the relevant place in the ATS.

 

For example, this notification refers to a new job that has been created in the ATS:

 

The word ‘here’ is a hyperlink and if you click it, it takes you to the job advert of the job that has been published:

 

Another example is this notification:

  • Here, the word ‘link’ is a hyperlink, and will take you through to the Authorisation page, to show you the result of the authorisation:

 

The Notification Centre displays various types of alerts to keep users informed about important updates and actions. Notifications include:

    • Policy approval required
      Sent to the approver.

    • Policy accepted/rejected
      Sent to the requestor.

    • Policy approval accepted
      Sent to the approver and anyone on the email list.

    • Candidate offer accepted
      Sent to the Job Owner / Hiring Manager.

    • Candidate has booked into an interview slot
      Sent to the Hiring Manager and interview attendees.

    • Job shared with recruiter
      Sent to the person the job has been shared with.

    • Job published
      Sent to the Job Owner.
    • Agency Notifications (Not Teams)
      • Job Shared
        • Notifies the Agency User that a Job has been shared with them
      • Movement Through Recruitment Stages
        • Keeps agency users informed about the status of their submitted candidates.

    • Custom notifications
      Sent to the appropriate ATS user as a notification when the email is triggered. This will take the recruiter to the bucket on the job that the notification relates to and will only show if the user is listed as the selected recruiter for the role

    • Onboarding notifications
      Alerts related to the onboarding process for new hires.
      • Workflow Item Assigned
        • Sent to the named user ie. Hiring Manager or Job Owner and will link to the relevant workflow item
      • Reference Returned 
        • Sent to Job Owner and Recruiter and will link to reference that has been completed
      • Candidate Has Completed Workflow
          • Sent to Job Owner and Recruiter and will link to the completed workflow
      • Recruiter Has Completed Workflow
          • Sent to Job Owner and will link to the workflow that has been completed
      • Checklist Item To Review
          • Sent to the user assigned to review this
      • All Item Complete
        • Sent to Job Owner

    • Process questionnaires
      • Panel Scoring On
        • This notification will only be sent to users with Panel Scoring switched on. 
        • Sent to all named recruiters on the job and anyone the job is shared with (not agency) when a questionnaire has been submitted or requires action.
      • Non Panel Scoring
        • Sent to the job owner and recruiter when a questionnaire has been submitted.

Within each notification, you will notice several icons to allow you to perform certain actions:

- Mark as read

  • Clicking this icon will change the status of the notification and mark it as ‘read’
  • You can click it again to mark it as ‘unread’ if you wish.
  • If you do change the status of your notification, it will move to the relevant tab at the top of the pop-up screen

 

- Reminder

  • This will allow you to set a reminder for this notification - it works a bit like a ‘snooze button’ for your ATS! 
  • If you select this option, you will see another pop-up appear underneath the icon:

  • You can then select the relevant period to receive a reminder about the notification
  • Once a Reminder is created, the notification will move into the ‘Reminders’ tab:

  • Details of the reminder are shown against the notification (highlighted above).

 

- Archive

  • This allows you to archive notifications once they have been actioned
  • Selecting this option will move the notification into the Archive tab:

  • It is worth noting that any messages in the Archive section will be deleted after 30 days.
