✏️ Introduction

The Onboarding Checklist provides a clear view of which workflow items have been completed and which are still pending - whether by the candidate or internal users. 

Checklists can be easily added to new or existing workflow items within an onboarding package and help streamline tracking and approvals. 

This guide will walk you through how to set up, manage, and review onboarding checklists.

📂 Adding A Checklist To A Package

Checklists must be added at a 🖱️ Workflow Item level in your Onboarding package.

They can be added to a brand new Workflow or an existing one. 

 

To do this through Onboarding head to > Managing Packages > Select “Edit”on your package > Select “Edit” on your Workflow > Select “Edit” on your Workflow item > Click the checklist toggle on

 


To add a workflow item to a checklist simply click the toggle on (1).

 

 

As well as adding the workflow item to a checklist, you can choose if the item requires approval or not (2):

 

 

When you select the “Requires approval” toggle, you’ll be prompted to choose the user type responsible for giving the approval.

 


Once happy with the details included in the workflow item, select “Save Details”.

👁️‍🗨️ Viewing A Checklist

When a checklist has been added to a workflow item, you will be able to view it via the 🖱️ “Manage Onboarded Users” page in the “For Review” column (1).

 




By clicking into a specific candidate will show you the workflow items that have been added to a checklist (1):

 

 

Each workflow item that has been added to the checklist will be colour-coded according to if it has been completed yet

  • Green Tick = Completed
  • Amber Question Mark  = Completed But Requires Approval
  • Black Clock  = Pending

 

By clicking on the arrows on the right-hand side of the checklist will show you further details on what the candidate/internal user has provided or completed:

 

If the workflow item has been marked as requiring approval, and the ATS user is the appropriate user type (as assigned when the workflow item was added to the checklist), “Mark as Approved” will be visible on the right-hand side of the item (1):

 


Once the item has been approved, it will show as Green in the checklist:



If you identify any issues with the candidate’s response during your review, you can ask for updates by clicking the “Request changes” button (2):

 


Once clicked, you are able to send an email to the candidate detailing what changes you require:

 

 

The candidate will then be prompted to log back into their dashboard to complete the workflow item again.
