✏️ Introduction

The Pre Offer application stage provides an additional step in the candidate journey, giving you more control and flexibility when managing offers and onboarding. This stage is especially useful for handling candidates who are issued pre offers or contracts, helping to avoid unnecessary back-and-forth between the “Offered” and “Accepted” stages.

 

By placing candidates into this dedicated Pre Offer stage, you can hold them in a central location while still allowing onboarding workflows to be triggered. This ensures a smoother, more structured process without affecting user permissions or application functionality.

In this guide, you’ll learn how to trigger onboarding actions from this bucket effectively.

💼 Triggering Onboarding From The Pre Offer Bucket

The Pre Offer stage allows onboarding workflows to be triggered directly from this point in the process.

To enable this, simply create or edit an onboarding package and workflow, then whilst in your workflow, select "Pre Offer Stage" from the Application Stage dropdown.

 

 

Once you have completed the above, make sure that you select “Save Details” on the Workflow:

 

 

You will then see your new Pre Offer application stage populated within the relevant Onboarding action (1):

 

 

Now that an Onboarding workflow has been moved to the Pre Offer stage, this can be triggered in the usual way when a candidate is moved to the relevant bucket:

 

 

  • In this example, the Reference Checks workflow is set to trigger for the candidate when they are moved to the Pre Offer bucket
  • Simply click the toggle on to invite to workflow (1)
  • Once you are happy click “Yes, Continue” (2)

 

Once the candidate has been moved to the Pre Offer bucket, the Onboarding icon will be visible as usual:

 

 

🟣 Important Things To Note

 

  • The Pre Offer stage does not link to the Extended Offer process. Candidates will still move to Offered and then Accepted once they accept the contract or offer.

  • This stage acts as a holding bucket - candidates are not notified unless onboarding actions are triggered.

  • No automated emails are sent at this stage, and there are no related templates in Email Manager.

  • Integrations must be triggered via Onboarding, as standard application flow triggers do not apply here.
  • To contact candidates while they’re in this stage, you will need to create an Ad Hoc Email template.
    • To do this head to “Tools” > “Email Templates” & click on “Create Email Template” (1).
