💡 Introduction

Questionnaires are a great way to keep information stored in one place and to also ensure that your processes are streamlined and efficient. 

Questionnaires can be used for all different reasons throughout the recruitment process including, job templates, application flows and onboarding. As part of this, you will need to know how and when to attach your questionnaires to each part of the process.

📤How To Send A Questionnaire 

You may need to send a questionnaire to someone directly on an Ad-Hoc basis. If this is the case, follow the steps below to complete this action.

 

To get started, click on “Jobs” and “View Job List” from the tool bar, once on the job list select the relevant job role, and select a candidate or if you would like to send a questionnaire to more than one candidate you can select multiple.

Next click on the “Options” menu and “Other Options”, this will open up a further drop down, where you will need to head to the “Send Questionnaire” option. 

This will take you to the Send to Selection Candidate popup. 

If you need to edit the content of your email on an ad-hoc basis you can do this within the send questionnaire pop up. 

If you need to create email templates these can be created within our Manage tool and then selected for use under specific circumstances. If you’d like to find out more information about creating email templates 🖱️click here.

 

When on the Send Questionnaire pop up, you will have the following options to edit:

  • From
    Depending on permissions, you may have the option to select from a drop-down menu and choose who you would like to send the email from.
  • Email Template
    Depending on permissions, you may have the option to choose an email template and populate the content with wording outside of the normal email pack (remember to retain the link to the questionnaire).
  • Email Subject
    The subject can be changed if you want it to say something different.
  • Attach Questionnaire
    Select from the drop-down menu and choose from the list of questionnaires available to send.
  • Email content
    You can change the email content or leave it as presented.
  • Attachments
    If you would like to upload supporting documents, select the Upload files button.

 

Once you are happy with the content and selections that you have made, select the “Add Questionnaire” and Send Email” button.

💼 How To Attach A Questionnaire To A Job

Depending on the purpose of your questionnaire will depend on how and where you insert it into a Job role. If you need further information about how to create a job 🖱️ click here.

 

Either when creating or editing a job role you will have the option to insert the following questionnaires:

  • Internal Feedback Forms
      • Shortlist Questionnaire
      • CV Feedback Questionnaire
  • Interview Stage
      • Interview Feedback Questionnaire
  • Offer Stage
    • Offers Questionnaire

 

In order to add one of these to your job, you will need to be on the “Job Setup” page either via initial creation or editing:

You will then need to scroll down to the relevant section; either “Internal Feedback Forms”, “Interview Stage” or “Offer Stage”, and select from one of the pre-made questionnaires from the list of options on the drop down list.

Once you have selected the relevant questionnaire that you would like to add to your job role, scroll down to the bottom of the page (if you have no further edits to make), and click “finish/save continue later” or “next”.

🚹 How to attach a Questionnaire to the Job Application Flow via Profile Builder

At the bottom of the Profile Builder, is a section where you can add in Questionnaires to your application.

To get started select the questionnaires button and you will be presented with a pop-up that looks like this:

Whilst on this page, select the questionnaire type, followed by selecting your questionnaire and finally candidate type.

 

If needed, you can add one or more questionnaires to the candidate's application process. 

 

You can also choose to have the feature enabled which allows you to select your own diversity questionnaire too - a great option if you regularly change or update your diversity questionnaire(s) or you have more than 1 to choose from.

 

When the questionnaire is inserted into the Application Flow, it will look like the following:

 

If you need to change where your questionnaire sits in the application flow, you can then use the symbol to move it into whatever position you choose.

 

You can also add a questionnaire to the Registration page of your Application Flow, if needed.

To do this, simply add another questionnaire then use the symbol to move it all the way up the page. 

 

You will see a red line as you move it through the 'Profile Builder' section - this indicates that you cannot move the questionnaire to that particular section:

Keep moving your questionnaire up until you are above the Profile Builder section:

 

 

Please only use a standard questionnaire type when performing this action.

  • If you use a branching questionnaire on this Registration page, you will experience errors and your candidates will not be able to apply to your role. 

 

You are also able to add in Integrations to the application process at this point. To do this simply select the “Type” option and select "Integrations" from the drop-down list.

📁 How To Attach A Questionnaire To Onboarding

When creating your onboarding package you may want to include a questionnaire for a recruiter to follow, to ensure that all onboarding processes are carried out prior to the candidate joining your organisation as an employee. Or you may need to ask your candidate for next of kin information or uniform requirements. 

If this is the case, follow the steps below to attach your questionnaire to Onboarding.

➡️ Viewing Onboarding Questionnaires

To see what Onboarding Questionnaires you have available to you to add to a package, simply select “Onboarding” from the top menu, and then select “Manage Packages” and finally “Questionnaire” from the left side bar:

This will take you to the list of available questionnaires, which can be added to an onboarding package. 

 

➡️ Adding Questionnaires To Onboarding Packages

Whilst creating a new package, you will need to add “Workflow Items”, and within these you can add any questionnaires.

To do this, click the pencil icon to edit the workflow item, and select “Questionnaires” from the left hand options. From here you can select your Questionnaire from the drop down menu, change the title if needed, add a description and select whether you would like this to be part of the checklist or requires approval.
